St John Malawi is an international non-profit charitable organization that is part of the Order of St John.  In Malawi it provides first aid and community –based health promotion through St John volunteers who form the base of most of its activities.  The organization is seeking the following staff member to be part of a team in our small and friendly office in Limbe, Blantyre.

REPORTING  TO:  Finance and Administration Officer

JOB PURPOSE:  To perform daily accounting and office administration tasks to support the financial accounting and office operations of St John Malawi.

 

SPECIFIC RESPONSIBILITIES:

Finance

  • Prepare finance documentation in accordance with St John Malawi financial procedures
  • Verify that evidence for all transactions is appropriate and sufficient
  • Post transactions into the accounting system
  • Follow appropriate authorisation procedures for payments and requisitions, and ensure others follow them

Office Administration

Keeping records for:

  • Purchasing and stock control
  • Buildings maintenance and Insurance
  • Motor vehicles/cycles and their maintenance
  • Insurance purposes

General

  • To support the Finance and Administration Officer
  • To support the office in carrying out any other finance and administrative tasks

 

SPECIFIC TASKS

Finance and office administration tasks will include but not be limited to:

  • Preparation, coding and posting of sales invoices
  • Daily maintenance of cashbooks, monthly bank reconciliations
  • Daily management of the office petty cash
  • Banking of cash and cheques
  • Preparation of payment vouchers and maintenance of the cheques register
  • Balancing of ledgers and reporting of debtors and creditors
  • Preparing monthly and quarterly transaction and other reports for programmes and projects
  • Assisting with costings, budgets and management and financial accounting analysis and monthly and year end accounting
  • Identification of fixed assets, maintenance of a fixed asset register, inventory records, and vehicle consumption and maintenance records
  • Ensuring that all financial transactions and documents are backed up and filed
  • Helping to resolve queries on accounting and administrative matters

 

QUALIFICATION AND SKILLS

  • A minimum of ICAM/ACCA Diploma, with 2 years of work experience an added advantage
  • Experience with Excel, experience with any accounting software, but with Sage Line 50 would be an added advantage
  • Good verbal communication in English, and report writing and presentation skills
  • Self-motivated and the ability to work with minimum supervision
  • Attention to detail
  • Ability to work with others and to maintain compatibility among staff and partners.
